Use your pass: six steps from the gate to your seat#
Allow time to find the correct railway entrance and deal with a rejected ticket before departure. Keep your issued pass, required seat tickets and passport accessible. This is a general station workflow; the exact product and station instructions take priority.
- Check the journey before entering. Read the pass dates and confirm the route, service and class are covered. If you need a reserved seat, compare its date, stations and train with your plan.
- Choose the matching gate method. Use the paper-pass, boarding-QR or IC branch in the table below. A purchase email or exchange voucher is not automatically a boarding credential. Keep any returned pass.
- Find the departure on the station display. Match the service or train number, departure time and destination, then follow its platform number. Platform 6 is a location in the station; it does not mean Car 6.
- Find the car, then the seat. At the platform, recheck the train display and car-position markers. With a reserved ticket, match the car number first, then the row number and seat letter. For example, “Car 6, 8A” would mean the car marked 6, row 8, seat A; this is an invented reading example, not a current train allocation.
- Settle in and keep the documents. Use the seat and baggage space you actually booked. Without a reservation, use only an eligible non-reserved car, where a seat is not guaranteed. Follow announcements for the next station and transfers.
- Transfer or exit using the appropriate credential. Check whether a transfer changes operators or enters a separately charged section. Follow the gate instructions and retrieve any returned pass. If a pass that should remain valid is not returned, ask staff before leaving.
Ready to board: you can point to the matching train and platform, the correct car, and your assigned seat when you have booked one. JR West’s station and train guide explains the gate and departure-display process. Check seat types if the ticket wording is unfamiliar.

Paper pass, boarding QR or IC card: which gate action?#
| Your credential | What to do | If it does not work |
|---|---|---|
| Issued paper pass supported by automatic gates | Use its ticket-slot instructions, keep the returned pass and carry the seat ticket as required. A seat ticket alone does not replace the pass. | Show the pass and tickets to staff. Paper products unsupported by the machine use the staffed gate. |
| Actual boarding QR for a supported product | Open the designated boarding code and use the supported QR reader. Do not confuse it with a voucher’s exchange code. | Check the product’s displayed status and ask staff; do not activate, cancel or purchase repeatedly. |
| Suica / ICOCA or a compatible linked IC journey | Touch the IC reader for that separately paid or correctly linked journey. Stored balance alone does not buy a Shinkansen journey. | Explain the route and credential to staff before touching again or switching payment methods. |
For a paper JR pass, do not also touch an IC card simply because an IC reader is nearby. At combined transfer gates, ask which tickets or card are required for your exact journey. The JR West gate guide distinguishes paper, QR and IC entry. Suica and Shinkansen bookings explains why a linked reservation is a separate requirement.

Resolve anything you have not confirmed#
If eligibility is unclear, read passport and immigration-status requirements. For airport collection, see collection by purchase method. If a train does not appear in searches, follow the reservation troubleshooting steps. Checking a box here does not prove that a booking or purchase is complete.
If a gate rejects the credential, step aside and show staff the pass, seat ticket and intended route. Repeatedly inserting tickets or touching another card can make the situation harder to explain. For a missed departure, use the missed-train checks; for missing travel documents, see lost pass and Exchange Order conditions.
Nationwide-pass disruption check: once you have started using the JAPAN RAIL PASS, train suspension or delay does not give you an extension or a refund of the pass under its conditions. JR Group also does not cover extra costs such as alternative transport or accommodation caused by a route change. Ask staff about the affected journey before paying for an alternative. Individual tickets and regional passes have their own rules; do not apply the nationwide-pass rule to them automatically. See the nationwide conditions of use.

What lets you mark an item complete?#
Use this checklist as a record of work completed, rather than a list of intentions. The check marks stay in this browser; they do not connect to any railway booking system.
| Check | Evidence to keep or verify | If it is missing |
|---|---|---|
| Eligibility and product choice | The exact product requirements, required passport evidence and a route-by-route coverage check | Resolve the eligibility question before purchase. |
| Cost and payment | Your comparison total and a completed purchase with the correct travellers, class and dates | Complete the cost comparison; a saved quotation is not payment. |
| Required seat reservations | A completed itinerary showing the train, date, stations and assigned seats | Use the booking checks and keep unavailable trains unchecked. |
| Pickup and boarding | A supported pickup point, required documents, then the issued credentials required by your product | Use the pickup fallback plan before going to the platform. |
| Day-of-travel conditions | The operator’s current train-operation information and the actual departure display | Ask staff about the affected journey; a check made before departure day is not a current operation check. |
Reopen an item if your train, pass start date, luggage or arrival time changes. Keep passwords, passport numbers and payment details out of any checklist you print or share.
Practice case: after a flight delay, your original reserved train is no longer reachable. Reopen the train and pickup checks, cancel or change the unused reservation under its rules, and confirm an attainable departure. A check mark from the original plan does not confirm the replacement train.
